The first point is, clarity about the objective. Tasks are steps to the objective. They are not the end by themselves. The second point would be to identify tasks that need to be completed to reach the objective. A PERT diagram is arrived at to be absolutely clear about importance and urgency/ priority of each task. CPM could also be used for smaller projects. Identify roles and responsibilities for the tasks. Delegate and Monitor progress as per timelines.

When I face challenges with task prioritization, I focus on balancing what’s important with what’s urgent. I start by listing everything on my plate and figuring out which tasks will make the biggest impact on my goals. Then, I look at deadlines to see what needs attention first. I’ve found the Eisenhower Matrix really helpful—it’s a simple way to sort tasks by importance and urgency. I also make a point to check in with teammates or stakeholders to make sure my priorities align with theirs. This approach helps me stay focused and confident that I’m working on the right things at the right time.

When prioritization gets messy, I focus on two questions: “What moves the needle most?” and “What happens if we wait?” I map tasks by impact and urgency—it’s not perfect, but it forces clarity. For the team, I keep priorities visible and adjust often, so everyone knows where to focus. If everything feels urgent, I push back to find the real deadlines. The biggest lesson I’ve learned? It’s better to do fewer things well than chase everything and risk burnout. Simplify, focus, deliver.

To ensure impact and urgency align seamlessly when prioritizing tasks, start by assessing the value of each task based on how much it contributes to overall goals, focusing on those with the most significant results. Evaluate deadlines to identify and prioritize tasks that are both urgent and impactful. Use the Eisenhower Matrix to categorize tasks into four groups: urgent and important (do immediately), important but not urgent (schedule for later), urgent but not important (delegate), and neither urgent nor important (consider eliminating). This structured approach helps manage workload efficiently, ensuring focus on tasks that drive progress and meet critical deadlines.
