When facing quality issues with an external partner, I prioritize open communication to address concerns transparently. I clearly outline expectations, ensuring both parties understand the required standards and agree on a plan for improvement. Regular check-ins help monitor progress and reinforce accountability. A collaborative approach is key to resolving challenges effectively.

In my view, addressing a quality issue with an external partner requires a collaborative and solution-focused approach. I would start by clearly identifying the issue and documenting the specifics of the problem. I’d then reach out to the partner to discuss the situation openly, ensuring I express concern without placing blame. Together, we would analyze the root cause and explore corrective actions, whether it's process improvements, additional quality checks, or timeline adjustments. I’d also set clear expectations for future performance and agree on monitoring methods. By maintaining professionalism and focusing on constructive solutions, I can resolve the issue while preserving the partnership.

To ensure consistent quality with external partners, I focus on maintaining clear and open communication. I make sure to set specific, measurable expectations from the outset and mutually agree on performance standards. Regular progress reviews help track improvements, address issues early, and reinforce accountability. I also encourage continuous feedback and foster a collaborative environment to ensure both sides remain aligned. Additionally, establishing a quality assurance process and conducting periodic audits can help maintain long-term consistency.

Here's what I do. Start by approaching the situation with empathy and clarity—assume positive intent but be firm about the need for resolution. Clearly outline the quality issue, its impact, and the expectations moving forward, backed by specific examples. Collaborate on a solution that aligns with your standards, while reinforcing the value of the partnership to ensure mutual respect and long-term success. Accountability plus respect equals progress!

Tell them. You can't be expecting better results if they don't know there is an issue with the quality of their work or product. As a business owner, I get to decide what the standards of the services we offer are, and these need to be reflected from the vendors I am using as well. If I don't communicate those standards with them, there is no way for them to know they aren't upholding the quality we want to provide our clients with.

In my early career, I was responsible for quality assurance of missiles as a customer in the DoD. Quality was directly correlated to survival. It left a mark which I have carried with me throughout my career. Having worked with thousands of suppliers, I’ve dealt with my share of quality challenges. Building a strong, communicative relationship with your partners when there aren’t problems is key. Quarterly checkpoints with bilateral feedback, clear escalation and notification processes, agreed metrics and targets on quality, and independent objective monitoring of both sides sets you up for success. When that problem happens, it’s OUR problem and we work together to fix it, not pin it on one or the other. Communication is fundamental.

Start by clarifying the gap between what was expected and what was delivered, referencing specific standards or metrics. Once both parties acknowledge the quality issue, propose an improvement plan with firm timelines and clearly defined goals. Regular check-ins, whether weekly or biweekly, will help gauge progress and reinforce accountability. By combining clear expectations, transparent dialogue, and consistent follow-up, you foster a collaborative path to better outcomes.
