Introduction
The bad news: Your forms are too long, and your CRM is too empty.
The good news: Breeze AI fixes these issues..
If you’ve got five minutes, then you can learn how to:
- Make forms shorter without losing important data
- Automatically fill in missing details using workflows
- Manually enrich contacts only when needed
That means less effort for your users and more data for your team, which is a win-win.
Let’s get started.
Shorten forms automatically with Breeze AI
All startups want more conversions, but their forms are often too long and become a point of friction for consumers.
That’s where Breeze Intelligence comes in, as it can help you shorten forms automatically by hiding fields that HubSpot can enrich based on a user’s email.
What does that mean? You only ask for what you don’t already know.
The result:
- Fewer fields for users
- More data in your CRM
- No drop in quality
How does form shortening work?
Once a user enters their email, HubSpot checks Breeze’s enrichment database (200M+ records). If it finds a match, any fields it can fill, such as Company Name or Job Title, are hidden from the form and auto-filled on the backend.
Step-by-step setup of form shortening
1. Build a form in HubSpot’s new editor
- Go to Marketing → Lead Capture → Forms
- Start a new form using the new editor (not legacy)
- Add all your ideal fields:
- Email (required)
- Name
- Job title
- Company
- Industry
2. Turn on Form Shortening
- Click the Settings tab in your form builder
- Scroll down to Form Shortening +AI
- Toggle it to On
3. Share the form
- Click Share
- Choose how to publish:
- Embed on your website
- Use a HubSpot share link
- Grab the embed code
What the user sees
If Breeze can enrich the data, users don’t see those fields at all. They just fill out the few remaining fields, like email, and submit.
5-second recap
With just one toggle, you:
- Shorten forms without losing important data
- Improve conversion rates
- Enrich records instantly, without manual entry
There’s just one field for the user that generates a full customer profile for you.
Auto-enrich contacts using HubSpot workflows
In a perfect world, all of your leads would fill out a form. But that isn’t reality.
Some will simply watch a video, while others may peruse your pricing page or click through various parts of an email. The records of these people in HubSpot are often incomplete, missing fields such as job title, company name, or industry. This results in a slowdown in lead scoring, routing, and personalization.
Breeze Intelligence solves this.
A single step inside your HubSpot workflow is all it takes to enrich contact records, skipping spreadsheets, uploads, and manual effort.
How to use HubSpot workflows with Breeze
When a contact reaches the Breeze Intelligence enrichment step in a workflow, HubSpot will check the email address against Breeze’s database.
If there’s a match, it will then fill in fields like:
- Company name
- Job title
- Industry
- Location and revenue (if available)
Then, you choose whether to overwrite existing data.
By establishing this workflow, you automatically turn anonymous or incomplete records into complete, sales-ready profiles.
Here’s the detailed breakdown.
Step-by-step setup of HubSpot workflows
1. Check your Breeze credits
Before getting started, you’ll need active credits to run enrichment. Usually, one credit is used for each enriched record.
To check your balance:
- Go to Settings → Data Management → Data Enrichment
- Your credit balance is shown at the top
2. Configure enrichment settings
Under Data Enrichment, check these settings:
- Allow manual enrichment → ON
- Automatically enrich new records → OFF
- Automatically enrich imported records → OFF
- Continuously enrich existing records → OFF
This setup prevents you from burning credits on unqualified contacts or mass imports.
3. Enable workflow access
Go to the Tools tab in the same settings area and turn on both options:
- Forms → ON
- Workflow Automations → ON
This allows Breeze to run inside workflows.
4. Build your workflow in HubSpot
Now go to Automation → Workflows and create a Contact-based workflow.
Example use case:
- Trigger: Contact viewed a video in the last 7 days
- Filter: Contact has an email address, but is missing job title or company
Then:
- Add an action: Breeze Intelligence enrichment
- When asked, set Overwrite existing values → Yes
If the contact matches a record in the Breeze database:
- Their CRM record is updated with new firmographic fields
If there’s no match:
- Nothing changes
- You aren’t charged a credit
5-second recap
This setup lets you:
- Enrich leads without manual review
- Automate the cleanup of partial contact records
- Keep your CRM complete and sales-ready
Manually enrich contacts and companies using Breeze Intelligence
While automation is great, it may not always be the answer.
For example, maybe you just need to:
- Clean up a few important records
- Enrich a key investor contact or strategic lead
- Double-check data before updating your CRM
That’s where manual enrichment comes in.
With Breeze Intelligence, you have the power to enrich one or multiple records, on demand, right from the contact or company view inside HubSpot.
How does enrichment with Breeze work?
You choose which contacts or companies to enrich, and HubSpot checks Breeze’s profile database and fills in:
- Job title
- Company name
- Industry
- Location
- Revenue range and more
In short, you stay in full control of what gets enriched and when.
Step-by-step setup of manual enrichment
1. Enable manual enrichment
Go to Settings → Data Management → Data Enrichment
Under the Enrichment Settings tab:
- Toggle Allow records to be manually enriched → ON
- Apply this to both Contacts and Companies
2. Filter records to review in contacts
Go to your Contacts view and apply a filter like:
- “Date contacted” → Last 7 days
- “Job title is unknown”
Select the records you want to evaluate.
Then click More → Check enrichment coverage.
This shows which contacts match Breeze’s database.
3. Manually enrich one or multiple contacts
After checking coverage, you can enrich:
- One contact: Click into the record → click Enrich Record
- Multiple contacts: Select multiple → click More → Enrich Records
Make sure the box to overwrite existing values is checked (unless you want to preserve old data).
4. Enrich a company record
Go to Companies in HubSpot.
Open a company profile → click Actions → Enrich Record
You’ll see a list of fields you can enrich, such as:
- Industry
- Country/region
- Employee range
- Company keywords
Click Enrich Record to apply updates.
5. Review enrichment and insights
After enrichment:
- Go to the About this contact or About this company section to see updated properties
- Use the Intelligence tab for a summarized view of the enriched profile
- You can even ask follow-up questions using HubSpot’s CoPilot
5-second recap
With manual enrichment, you choose which records to enrich, when, and how. It’s fast, targeted, and flexible, with no workflows or imports included.
